Sending mass email/SMS for birthdays, promotions and others

Currently, Zavy does not offer a  mass emailing feature, but  we may  introduce it in the future. In the meantime, to send emails or SMS to your practice's patient list, we highly recommend using a third-party mass email service, such as MailChimp. If you plan to use a service like MailChimp with the patient list from Zavy, here’s how you can do it:

If you plan to use a third party mass emailer service like Mailchimp using the list of patients from Zavy, here is how to do it:

  1. Go to Reports: From the main menu, click on Birthday Reports to send birthday greetings, or select the New Patient Report if you wish to customise the recipient list based on specific criteria.


  2. Date Range & Filtering: As these reports are based on the patient file's creation date, make sure to enter a large date range like 2000-01-01 till today's date for the report to show all your patients.

    *After that, you can then apply the other filters like State = Active, Last Appointment before a certain date etc.
    *Use the Column button at the right side to select only the columns you need.



  3. Export the List: In the report table, right-click anywhere in the report results to export the data in either Excel or CSV format.

  4. Import to MailChimp: Once you have your patient list in Excel or CSV format, follow the instructions from MailChimp to import your contacts. You can find the guide on importing contacts here:

Using a third-party service will allow you to easily manage and personalise your mass email campaigns, while ensuring compliance with best practices for email and SMS marketing.
