Cancellation Charges Workflow

Whether you're automatically collecting card details at the time of booking or manually requesting them through the patient’s profile, the cancellation workflow remains the same from that point forward.


💳 Card Verification & Icons

Once a card is collected, you’ll see a credit card icon on the appointment:

  • 🟢 Green icon – A valid card is on file (verified number and expiry date)

  • 🔴 Red icon – No card is stored or the details are invalid

Card details are verified when added and again each time an appointment is booked. This includes an expiry date check and validation via the payment gateway.


🚫 Applying a Cancellation Fee

If a patient’s appointment status is updated to Missed or Late Cancellation, a pop-up will appear allowing you to apply a cancellation fee.

  • You’ll see the preset charge amount

  • You can adjust the amount, but only within the limits defined in your Practice Settings

⚠️ That’s why it’s important to configure your max fee and terms upfront.


📄 Payment Status & Receipts

Once a charge is attempted:

  • A receipt icon will appear on the appointment

  • This will indicate whether the payment was successful or failed

Note: While we can verify that a card is valid, we cannot guarantee available funds at the time of charging.
