Recall Automation – Automatically Change a Patient’s Status

Overview

With recall automation, you can automatically update a patient’s status based on their engagement with reminders. This reduces manual work and ensures your records stay organised.

For example, if a patient receives multiple SMS and email reminders but doesn’t book an appointment, you can automatically mark them as inactive—freeing up admin time and keeping your database accurate.

Setting Up Automated Status Changes

To automate patient status updates in recall workflows:

  1. Go to Settings > Templates > Recalls

  2. Click Edit on an existing automation workflow, or create a new one

  3. In the recall template, add a step

  4. Select Action > Patient Status

  5. Choose the status you want to set at this step

  6. Save your changes

Best Practice Tip

This setting only applies to new automation workflows. If you are transitioning from manual recalls, there may be a short period where manual updates are required until existing automated recalls complete their cycle.

By integrating status changes into recall automation, you can reduce manual intervention and maintain an up-to-date patient list effortlessly.
