How to track appointment status, arrivals, complete, missed, FTA appointments

Appointment status is manually tagged by the reception if the patient has arrived, ready, in progress, completed, missed, or late cancellation.

Every business is different and tese status may not be used by all businesses, I do highly recommend using at least the arrived, completed and missed status for basic tracking of some KPIs which are required by some reports.

  • Open the scheduled appointment in the Calendar screen

  • Appointment Status is on the left side of the screen

  • by default, the appointment is tagged as Scheduled

Appointment status

  • Arrived is used to track when a patient has arrived in the practice

  • Ready In some instances, the front desk needs to pull up some data or process some documentation or paperwork. Once all of these are completed the status can now be changed to Ready

  • In Progress is used if the practitioner is already attending to the patient

  • Complete Once all the procedures and invoices are done, the appointment can now be marked as Completed, the appointment colour automatically changes to green, as a quick indicator on the appointment book the patient attended and has completed their visit.

  • Missed is used if the patient is a no-show without any notification that they will not be able to attend, sometimes referred to as FTA or DNA

  • Late Cancellation is generally used for appointments cancelled within 24 hours of the appointment
